Job Summary:
We are seeking an experienced and detail-oriented Admin and Compliance Officer to manage the day-to-day administrative activities and ensure statutory and regulatory compliance at our manufacturing plant. The ideal candidate should have a strong background in plant administration, labor law compliance, vendor management, statutory reporting, and liaisoning with government authorities.
Key Responsibilities:
Administrative Responsibilities:
- Oversee plant administration, including housekeeping, security, canteen, transportation, and facility management.
- Manage contracts and services of third-party vendors.
- Monitor attendance, visitor management, and ensure smooth office operations.
- Maintain office supplies and inventory in coordination with procurement.
- Organize and coordinate meetings, workshops, and training sessions at the plant.
Compliance Responsibilities:
- Ensure compliance with labor laws, factory acts, pollution control norms, fire safety regulations, and other statutory requirements.
- Maintain up-to-date records of all licenses, permits, and renewals (e.g., Factory License, PF, ESI, etc.).
- Liaise with local authorities (Labour Department, Pollution Control Board, etc.) for audits and inspections.
- Prepare and submit compliance reports on a monthly/quarterly basis.
- Conduct regular audits to ensure compliance and identify areas of improvement.
Documentation and Reporting:
- Maintain accurate records of all administrative and compliance-related documents.
- Draft reports, policies, and SOPs related to administration and compliance matters.
- Prepare MIS reports for senior management on a regular basis.
Team Coordination:
- Coordinate with HR, finance, safety, and production departments for seamless operations.
- Supervise support staff and ensure timely resolution of grievances.
Required Skills & Qualifications:
- Bachelor’s degree in Business Administration, Law, or related field. MBA or Diploma in Industrial Safety/Labour Laws is an advantage.
- 5–8 years of experience in plant administration and statutory compliance, preferably in a manufacturing environment.
- Strong knowledge of applicable labor laws and statutory compliances.
- Excellent communication, coordination, and interpersonal skills.
- Proficient in MS Office and familiarity with ERP systems.
- Strong organizational and multitasking abilities.
